Trigger a Lead alert to SugarCRM
You must configure Scribe Lead Alerts maps in advance of using this feature.
Complete the following steps to trigger a Lead alert whenever a contact reaches a scoring point level or rank.
- Within Acoustic Campaign, go to Scoring > Lead Alerts.
- Click Create Alert > Score and Rank.
- In the Lead Alert tab, complete the following steps.
- Enter Alert Title.
- Select your Score Model.
- Enter a point level under Score Reaches or make a selection under the Rank Reaches drop-down menu.
- Check the box next to CRM Task. You might also send a Lead Alert Email.
- Go to the CRM Task tab, and complete the following steps.
- Enter the alert Subject.
- Enter the alert Body.
- (Optional) Click the Personalization button and select one or more database personalization fields to your Subject or Body.
- (Optional) Check Add Contact Insight to task description to include the lead's Contact Insight record.
- (Optional) Enter a number for when the Task is due.
- Click Done to activate the Lead Alert.
Synchronize a Lead or Contact from SugarCRM to Acoustic Campaign
Only SugarCRM Leads and Contacts that have the Sync to Acoustic Campaign selected are added to the Acoustic Campaign database as configured through Scribe Online.
In SugarCRM, open a Contact or a Lead record and click the Acoustic Campaign Contact Insight tab.
Complete the following steps to enable syncing for the Contact.
- Open the contact record and click the Acoustic Campaign Integration tab.
- Check the Sync to Acoustic Campaign check box.
The contact must be added to Acoustic Campaign during the next scheduled Scribe Online sync job.
Synchronize a SugarCRM target list to Acoustic Campaign contact list
To segment records within SugarCRM, you can attach a Campaign target list to a Campaign, and push it to an Acoustic Campaign contact list.
- The feature is available in module version 2037 and later.
- Configure Scribe contact list maps in advance of using this feature.
Complete the following steps to synchronize a SugarCRM target list to an Acoustic Campaign contact list.
- In SugarCRM, create a Target List in an existing Campaign.
- Click the Sync Acoustic Campaign Campaign button.
- In Acoustic Campaign, a new contact list is created and uses the following naming convention, SugarCRM Campaign Name_Campaign_ID.
- In Acoustic Campaign, assign the new contact list as the contact source with an email template.
Note: Only records that are synchronized to an Acoustic Campaign database are added to the contact list. Only CRM records that have an Acoustic Campaign ID associated with them can be synchronized with the contact list. If the records are added or removed from the Target List, click the Sync Acoustic Campaign campaign button to update the Acoustic Campaign contact list.
Synchronize a Contact to SugarCRM from an automated program
The synchronization process that is outlined in the topic is intended for implementations where the contacts that are originating in the Acoustic Campaign are not synchronized to CRM as a new Lead. You can synchronize a Contact to the SugarCRM database when you enter a program or at some specific track or step within the program.
Complete the following steps to synchronize a Contact to SugarCRM from an Automated Program.
- In a Program workflow, got to Actions and drag and drop the Sync Contact with CRM action to a program Step or Track level.
- Name the action and enter the description.
- Configure Sync Conditions. Select either All Contacts or Contact who match These Rules and configure rules.
- Click Apply.
When the program participant triggers the Sync Contact with CRM action, the CRM Enable Sync is set to a 1. Pre-defined Scribe Online mappings look for modified contacts with CRM Enable Sync set to 1 and pushes them to SugarCRM as a new Lead.
Note: Acoustic Campaign that synchronizes with SugarCRM do not create new Leads in CRM, and the CRM Enable Sync is flagged as a 1.
Share email template with SugarCRM
Acoustic Campaign email templates can be shared with SugarCRM, allowing it to be sent from SugarCRM. However, the template must exist in the Shared tab and its contact source must be the CRM integrated database.
Complete the following steps to enable an email template to be shared with Sugar CRM.
- Go to Content > Email Template > your template.
- Click Email Settings and select Contacts.
- Check the box next to the Share template with CRM system. The box is only available when the Contact Source is the integrated database (and) the template is in a Shared location.
- Click Save.
Whether or not the shared template is available for selection to send in SugarCRM depends on the Acoustic Campaign module version you have installed.
- For the versions prior to 2051, you might use the template in SugarCRM for email sends with no further action.
- For the versions 2051 and later, due to a new folder feature released in version 2051, it is recommended to Synchronize the templates with CRM and optionally organize them into folders. If you don't synchronize the templates, it would not be visible in SugarCRM.
Send an email from a SugarCRM Campaign
You can send an Acoustic Campaign email from a SugarCRM Campaign. In this case the email will be sent to a list of Leads/Contacts from a Target List(s) associated to a Campaign.
Your browser's pop-up blocker might be blocking the Send wizard. Add your SugarCRM domain to your pop-up blockers sites or exception list. For more information, refer to your browser's documentation.
Note: All Target Lists will be sent to including Suppression Lists.
- Go to the SugarCRM Campaign module.
- Open up a Campaign or create a new one.
- Add several Target Lists with Leads or Contacts to the Campaign.
- Click the Send Acoustic Campaign Email button and wait until the email wizard is displayed.
- In the email wizard form, you will see the number of synchronized Leads or Contacts from a Target List(s) associated with the Campaign.
- Configure the email. The email template inherits the header and settings that are configured in Acoustic Campaign.
- Select the Folder containing your template from the drop-down menu.
- Select an email in the E-Mail Template drop-down menu.
- If needed, configure the Subject or Add Personalization.
- If needed, configure the From, From Address, and Reply-to Address.
- In the Send Options, select whether to send the email Now or as a Scheduled Send. If you select Scheduled Send, configure the Start Date and Start Time.
- While send process is running, the progress indicator is displayed and indicates the number of batches processed as well as overall number of batches.
- Wait until all batches is processed. After all the batches are processed, a confirmation dialog is displayed.
Send an email to multiple Leads or Contacts from SugarCRM
You can send Acoustic Campaign email to multiple recipients. Multi send is performed on a Lead or Contact list view. Multi send can be done for all Leads or Contacts, all Leads or Contacts from a filtered list and selected Leads or Contacts.

- If needed, configure the From, From Address, and Reply-to Address.

Send an email to a single Contact or Lead from SugarCRM
You can send an Acoustic Campaign email to a single Lead or Contact within SugarCRM by using the Send Acoustic Campaign Email button.

- Select the Folder containing your template from the drop-down menu.
- Select an email in the E-Mail Template drop-down menu.

An email is sent to the contact or lead.
Send Acoustic Campaign email from SugarCRM
The Send Acoustic Campaign Email is displayed only if the Sync To Acoustic Campaign flag is set to Yes. You can send an email to single Leads or Contacts from SugarCRM, multiple Leads or Contacts from SugarCRM, and send an email from SugarCRM Campaign. Read through the sections to understand how to use the Send Acoustic Campaign Email feature.
Add a Contact to a Program in SugarCRM
Read through the following topic to add a Lead or a Contact to a Program within Contact Insight.
Complete the following steps to add a Lead or a Contact to a Program within Contact Insight.
- Navigate to Contacts and select a Contact or if the Contacts page is visible on your dashboard, select the desired contact.
- When the contact's record appears, click on the Contact Insight tab.
- Click Add Contact to Program.
- Add the contact to the program by clicking the green plus icon under Action. Only the Programs that are marked as Program approved for sales are displayed.
- Click Close.
Create a folder structure for Acoustic Campaign email templates
Complete the following steps to create, edit, or configure the Acoustic Campaign email templates folder.
- Within SugarCRM, navigate to Acoustic Campaign Template Folders.
- Click Manage Acoustic Campaign Template Folder.
- If you select an existing folder, click Manage Acoustic Campaign Template Folder, the system shows the selected folder with all of its associated email templates, users, and roles.
- If you click Manage Acoustic Campaign Template Folder with no folder selected, the system opens a dialog box where you can create and configure a new folder.
- The Folder Management dialog box is displayed. The Folder Management dialog consists of the following components.
- Folder Name - The name of your Folder.
- Unfiled Public E-Mail Templates - this panel displays all email Templates that are not added to the current folder.
- Email Templates in this Folder - this panel displays email Templates that are added to the current folder.
- This folder is accessible by all users - an option that makes the current folder visible by all CRM users regardless of their permissions.
- This folder is hidden from all users - an option that makes the current folder that is hidden from all CRM users regardless of their permissions.
- This folder is accessible only by the following users/roles - an option that allows you to make the current Folder accessible only by the specific Users or Roles.
- Search - pick list that allows you to switch between Users and Roles in order to configure Folder access properties.
- Available for Sharing - this panel displays either Users or Roles (depending on the selection that is made in Search pick list) that are not added to the current folder.
- Shared To - this panel displays either Users or Roles (depending on the selection that is made in the Search pick list) that are added to the current Folder in Folder Management dialog UI
- Specify the Folder Name.
- Add the Mailing Templates to the folder.
- Add the Users and/or Roles to the folder or make the folder either accessible by all users or hidden from all users using the dedicated controls.
- Click the Save button.
- Once the folder is saved, go to Send Acoustic Campaign Email dialog and use this folder by selecting it in the folder drop-down list.
Synchronize Acoustic Campaign email templates
Before creating a folder structure, you need to synchronize email templates from your Acoustic Campaign Organization to SugarCRM. With integration for SugarCRM, Acoustic Campaign can organize your email templates in folders. By organizing email templates in folders, you get not only better organization/view for email templates but you can also make specific templates to be available for a specific user based on a direct permission or Security role.
Complete the following steps to synchronize the email templates.
- Within your SugarCRM environment, go to Acoustic Campaign email Templates.
- Click the Sync Acoustic Campaign email Templates button.
- When clicked, the synchronization process begins. The process dialog is displayed.
- As soon as synchronization is completed, a summary is displayed showing the following information.
- The overall number of templates in SugarCRM after the sync process.
- A number of templates added to SugarCRM.
- A number of templates updated in SugarCRM.
- A number of templates deleted from SugarCRM.
- Now that the Mailing Templates are updated in SugarCRM, you are ready to move forward and create a folder structure.
