Sync new records based on score or rank
You can use the Microsoft Dynamics CRM integration to sync records from Acoustic Campaign to CRM based on contacts score or rank. However, ensure that the Sync Setting is cleared.
Complete the following steps to allow a record to sync based on a contacts rank or score:
- As an Org Admin, go to Settings > Organization Settings > CRM and Scoring Settings.
- Click Edit.
- In Sync Setting, clear Create corresponding Lead in CRM if a new contact is added in Acoustic Campaign.
When the Sync Setting is cleared, you can use the Score Model's score or rank to determine when new records must be synced from Acoustic Campaign to CRM. In your Scoring Model, Sync with CRM appears below the Ranking section, where you can configure your score or rank levels.
Share an email template with CRM
Acoustic Campaign email templates can be shared with Dynamics CRM, which allows CRM users to initiate an Acoustic Campaign email from Dynamics CRM.
Note: Locked and Quick Compose email templates are not eligible for sharing with CRM. Acoustic Campaign customization solution 0.9.9.5 introduces template 'folder' functionality within CRM and requires extra configuration inside CRM before the shared templates are available for use.
Complete the following steps to enable an email Template to be shared with Sugar CRM:
- Go to Content > email Template > your template.
- Click email Settings and select Contacts.
- Check the box next to Share template with CRM system.
- Click Save when done.
- Next, log into Dynamics CRM and synchronize the template(s) that are shared.
Note: Share template with CRM system is available only when the Contact Source is the integrated database (and) the template is in a Shared location.
Set the default sync for new records
After creating or importing a flexible database, you need to set it as the synchronization database in Acoustic Campaign.
Complete the following steps to set default sync for new records.
- In Acoustic Campaign, click Settings and select Organization Settings.
- Click to expand CRM and Scoring Settings.
- Click Edit.
- Select the newly created or imported flexible database that syncs with your CRM.
Note: This is the only way Acoustic Campaign can differentiate Leads and Contacts by using the CRM Contact Type field. Flexible databases that are not selected for CRM synchronization might not have this field. If a new record is added to Acoustic Campaign first, versus CRM first, the default CRM Contact Type is a Lead.
You could choose to select or clear the Sync Settings check box. If you select the Sync Settings check box, all the contacts that originate in Acoustic Campaign are synchronized to Salesforce.com as new Leads. If you clear the Sync Settings check box, all the contacts that originate in Acoustic Campaign are not automatically synchronized to Salesforce.com. Instead, the marketer implements a lead qualification process or processes.
Get the Microsoft Dynamics integration refresh token
Read through the following section to understand how to get the Microsoft Dynamics integration refresh token.
When you are using the Acoustic Campaign integration with Microsoft Dynamics CRM to send emails or view Contact Insight® within CRM, an OAuth Token is required to access Acoustic Campaign from MS Dynamics CRM. The following instructions show you how to get the refresh token from Acoustic Campaign.
Complete the following steps to give Microsoft Dynamics CRM access to your organization.
- Login to Acoustic Campaign as an Organization Administrator.
- Go to Settings > Organization Settings > Application Account Access.
- Click Add Account Access.
- In Application, select the Microsoft Dynamics Integration application.
- Select the Org Admin user that will communicate with Acoustic Campaign from Microsoft Dynamics CRM.
- Add a description. Adding a description is optional, but it is recommended if multiple organization administrators use the system and need to know why the user has the specified access.
The system automatically generates an email with the token and sends it to the notification email address of the user selected. Open the email to get the refresh token to be added to the Acoustic Campaign General Settings in Microsoft Dynamics CRM.
Note: If access is already set for the application and Acoustic Campaign user, but you cannot locate the original email with the token, then select the user and click Revoke Account Access. Proceed to generate a new token by clicking Add Account Access.
Create an integration user account
You can create an Acoustic Campaign user that can use the granted permissions for API access, and access to Shared Organization resources to communicate with Acoustic Campaign from external sources like MS Dynamics CRM and Scribe online.
Review the instructions for Creating an organization administration user
- Organization Administrators can choose to use an existing account. However, having a separate account just for integrations can help you to audit which user made a change from an automated or manual API call. The preferred user should have administration rights for an Acoustic Campaign organization that is enabled to integrate with a CRM database.

When a new Acoustic Campaign account is set up, it automatically expires within the first 7 days. If you set the account to never expire, the non-expiration policy will take place after you change the initial password.
Complete the following steps to create an integration user account.
- Give the user access to the API for Acoustic Campaign
- Verify that the user has access to Shared resources in the organization.
- Verify that the Default General Settings to Shared Resources i is available.
- Add Application Account Access to Microsoft Dynamics 365\CRM and Scribe Online Integration.
- Complete the following steps to give the user access to the API for Acoustic Campaign
- Go to Settings > User Accounts and select the integration user account that was created.
- In User Permissions, complete the following tasks.
- Select Enable use of Assume Identity API option. The Send rights and Landing Pages access permission options can be selected as well to ensure the account does not have problems with any aspect of the integration.
- Click Save.
- Complete the following steps to verify whether the user has access to shared resources in the organization.
- In Settings > User Accounts > Mailing and Landing Page Settings, complete the following steps.
- Set Default Folder Visibility to Shared.
- Click Save.
- In Settings > User Accounts > Mailing and Landing Page Settings, complete the following steps.
- Complete the following steps to verify that the Default general settings are for Shared resources.
- In Settings > Organization Settings > General Settings, complete the following steps.
- Select Default Folder Visibility to Shared.
- Click Save.
- If this is set early in the Organization set up, then any new users created should automatically be given access to Shared resources.
- In Settings > Organization Settings > General Settings, complete the following steps.
- Setup the Microsoft Dynamics Refresh Token and the Scribe Online Refresh Token using the new integration user account.
Add a lead or contact that syncs to CRM manually
You can manually add a lead or contact that syncs to CRM.
Complete the following steps to add a Contact that syncs to CRM manually.
- In Acoustic Campaign, open the Microsoft Dynamics CRM database. The Database Summary page is displayed.
- Click Add Contact.
- Verify whether the CRM Enable Sync setting is set to Yes.
Note: The default CRM settings are configured by your Administrator.
By default, all new records in Acoustic Campaign are leads but can be identified as contacts when a CRM Integration is in place. See your integration specialist for more details.
